MINUTES:  February minutes & minutes of the Informal Z. O. Meeting, Moved to accept the minutes from the Feb and Albany meeting. Seconded, Passed.

OLD BUSINESS:
1. 2010 Zone One Zone-O-Rama Report:
a. Show Manager:  – report – Idaho Horse Park- Reported, same numbers as last year.  Glad to be out of the Idaho Horse Park. Saved on help with volunteer help.  Person that we hired to be show manager was needed in a judging position so Annie took over Show Manager. 
b. Show Secretary:  Edie Hill – Horse difference 193 in previous year and 150ish this year.  Cross Over Fee was a big success.  Rest of numbers were down slightly.  770 entries in 2009 – 679 in 2010.  We did not do too bad since everywhere in the country is down way more. 
c. Z. O. Treasurer: Linda Wise – It was very difficult to work with IHP this year since we were leaving.  Stall counts at the end were very off.  IHP drug out a lot of the stall stuff.  Moving because of financial issues, but it was a nightmare with management of stalls. 
A. Any outstanding bills or debts still need to be paid to Zone One-3 outstanding-NWCC for futurity forms postage, two NSF outstanding ($800 Total)
B. Vendors fees paid
C.    Look at what we spent and where everything went
D.    Problems we need to discuss from the 2010 Zone One Show- stall money collecting was a big problem
F.    Hotel fee for staff- all comped.
Awards:   Awards left over Left over buckles, script went great most all of the script was used and turned in. 
        B.     Awards Booth: Everyone happy with it! Buckles: left over 26. 

d. Sponsor Coordinator:  Ann and Annie collected $6324 in sponsorships. 

 
e. Other Reports- 1. Gelding Plus: We awarded the Amateur division to Dan who only showed Novice, not any classic or master division.  He hasn’t received his money, because we need have a variance changing the choice to $500 for Novice and $500 for regular Amateur OR give the money to rightful amateur that won it.  Motion made to award the rightful amateur winner the $1000.  Seconded and Passed.  Edie will write an apology to Dan about the Gelding Plus award. 2. 

2.  NWCC 2010 Directory Ad:  Pictures are done, Bill was paid.  They will send a proof before it is published.  December 15 is the final deadline.  We will have the directory for the January 29 meeting.  Linda will email to make sure they have everything they need. The ad needs to play up where we are moving and the dates.

NEW BUSINESS:
1.  2011  Zone One Website:  Leila Styer contract is good until 2011- Website is all current just send information. 

Items which need to be addressed for the 2010 Zone One Show:
2.  2011 Zone One Show will be held in Central Point, OR  – contract all set for $16000, they want control of food both.  Will they let outside food in for Judges? A few things needed to be changed in contract-money up front. 
3.  Date:   August 17 – 20, 2011- Maybe going to 4 and a half days?  Possibly holding a dinner during the show.  Proposed to hold the show 17th-21st.  Motion made to extended the Zone show to the 21st. Seconded.  Passed.
4.  Bids for 2014 Zone One Show:  Central Point 3 year contract,
5.  Suggestions from exhibitors.  Talk about changing 3 year old classes.  Adding green classes. 
6.  2011 Zone One Zone-O-Rama Show
   a. Discussion of 2011 Show Contract- Only discrepancy is when they want their money.
   b. Show date:  August 17-21st. 
   c. Budget: based on 300 stalls, 60 RVs, 900 Entries would equal $101,000, expenses the same
   d. APHA approval:  Who will do? Linda Vance will take care of.
   e. Judges:  Mike Short, Karen Banister, Katherine Bogetta, Rod Cavinder, Chris Strine, waiting on call from Tom McBeth.
f   . Class Changes: Talk in depth in January.  Drop 3 year Old classes. Possibly drop Solid classes.  We are already at the bare minimum.  Games, should we take some out? NWCC needs help with their futurities. What would Zone think about making their own futurities maybe as slot clsses? It will be researched and brought back to January.  For games and green horse it will be taken back to clubs to see what the clubs would like add or subtract.  How should we run the warm up courses? Looking at adding: 4 Green Horse (WP, Western Riding, HUS, Trail), 6 Amateur Walk Jog-( showmanship, western pleasure, horsemanship, HUS, Hunt Seat Eq, trail) Taking out: 2 Yr & 3YR WP and HUS, All games.
   g. Post Cards or Premiums? Premiums for sure, no colored ink!!!
   h.  Stalls Prepaid again in 2011?: Tabled until January when we find out how much portable stalls will cost.  Shavings $5.05 per bale.
